Clan AGM 2013 - 3pm - Saturday 31st August

Hi guys,
We're currently trying to finalise a date for the AGM. At the moment we are looking at the 31st of August, on a Saturday afternoon. Does this suit most people or would more people prefer a Friday evening? Let us know below.

Cant make that weekend, as I'll be rocking out at Electric Picnic.
I do believe that a Saturday, possibly on a game day is the best idea.
Have the AGM 3 hours before kick off. Lets people go, and still have time for drinks before a match. Having it on a game day, also allows for more people to go.
Would people be allowed into the Sportsground early on game day, and have it in the Clan Bar?

It was initially suggested to have it the same day as the Wasps game, but we were told we wouldn't be able to use the Sportsground that day. Also, a few key people are heading away on holidays in early August.

The best time to do it, as is the case in most rugby clubs is at season end so in late April/early May before the holidays season begins and people disappear to points sunny..

A lot going on around that period in fairness, what with organising the player awards and the Hall of Fame. A good point though, we'll keep it in mind for next year.
For anyone who can't make the AGM for whatever reason we have plans to record it.

I had a couple of suggestions:
Create the following posts:
- Webmaster
- Web Content Editor
- Away Travel Co-ordinator
These don't necessarily need to be committee members, nor should they do all the work in the respective areas, just co-ordinate it with other volunteers. For example, Diom is filling the webmaster role at present and hopefully will continue to do so but could probably do with some backup.
I would think someone like FourDogs would fill the Away Travel (or Minister for Foreign Affairs) role admirably, if he would accept the honour. And I would throw my hat in the ring to try pulling together some more web content to try and get a bit more traffic to the site (though we could probably find someone more competent than my good self).
There may be other roles that people feel should be filled too, those are just the ones I thought of.
Also maybe we should consider some adjustment to the committee structure. I think Declan pointed out that there were only four active committee members (from originally nine or ten) as inevitably other stuff comes up and people drop out.
I would say the idea of becoming committee members scares the pants off most people as they're afraid of being roped in to all manner of things.
So if we had something like Associate Committee Members, who wouldn't be committing to a whole season's penal servitude but could attend committee meetings if free and would be generally available to volunteer their help, that might take the pressure off the main committee.
It might also be a good idea to appoint an honorary president (like an ex-player or some other such luminary, if we could find one), who wouldn't necessarily have to do any real work but could lend his/her name/face to some communications, etc and maybe increase the profile.

We'll certainly bring up these issues at the AGM, cheers. I've added them to the (still draft) agenda, so if anyone wants anything else brought up but can't make it let me know. For those of you who can make it, we'll have the usual AOB.

Hey guys,
So the AGM went ahead as planned and there was no real controversy or drama
The entire meeting was recorded and we will get the vid up as soon as possible, so all who could not attend can see the full meeting.
The main news is that we recruited one more active forum member to the committee, overstrander, and the out-going committee was re-elected. The rules of the constitution, which was ratified at the AGM, states that we are only elected to the committee and not to specific positions at the AGM. We will sort out specific responsibilities at our first meeting.
Thanks to all who came along and to the lads who joined us for a quick scoop in O'Cs after as well.
